Most spectators appreciate why you say no when you explain the costs and just enjoy watching. If you put on a good show and tell them about the forum that is often enough to get them interested.
I can appreciate your concern over travel time but if you invite the right members from.your club - the ones that attend early and don't need to be asked to set up (and tear down) it can still be a good fun and worthwhile day out. Come on....say you will!!

10 is a start though. Another 10 would do it? Lets make this a RC Tank Warfare effort rather than a single club. I'm sure there are others like me who are not club affiliated yet.
Which reminds me - event insurance. Does the event cover all exhibitors re 3rd party liabilities, exploding cell packs for example.

I attend the shows put on by various clubs in the UK, usually at wartime weekends. They are much larger than this one though.
Between the clubs and other parties there are gazebo's, benches, generators, fencing etc, we are pretty well organised at setting up a battlefield etc and staying Friday till Sunday.
However, two things are an issue, one is the date as a Bank Holiday might be good for public attendance, but it may reduce the availability of forum members, the other is that 1000 people isn't a huge public attendance. The problem for those travelling a hundred miles or more is that a one day show is a bit short. Weekends are good though.
It takes a day (Friday, usually), and a lot of work, and people, to erect Gazebo's and build a decent battlefield. Grass needs mowing and strimming as well. I have experienced horrendous storms so somewhere to store tanks undercover is a must.

I could possible come down would just need a bit more detail have loads of 1/16th and my 1/6th tiger ? plus I could ask a few of out club members

It would be good to get an assortment of club and forum members together wouldn't it?
If asked, the museum may welcome us arriving over the weekend so we can setup and play in prep for Monday. If you adopt a positive can do attitude great things happen! A couple of days of relaxed playing and getting to know forum members sounds good to me

We had a chat at the last club meeting, its not far from where we meet and one of the guys has contacts etc. He is going to make enquiries and let them know we are interested subject to a suitable area being made available. We may be able to secure a few gazebos or tents into the deal. If we can ensure that we will have a large enough area then there are enough of us interested to turn up with scenery etc to make it a worthwhile day out.
